Privacy Policy

This starter policy explains the intended approach to personal information in IMECore. Counsel must review it before launch.

1. What we collect

Depending on how a workspace uses IMECore, we may process account and contact details, workspace membership, referral details, claimant information, medical records, examiner information, report content, billing records, support messages, and technical logs.

2. Why we use it

We use information to:

  • provide and secure the service;
  • organise IME cases and support approved workflow steps;
  • send service messages and respond to requests;
  • process billing and keep required business records; and
  • find errors, prevent abuse, and improve the service.

3. Workspace data

The workspace usually decides why claimant and medical information is collected. IMECore processes that information to provide the service under the workspace's instructions. The workspace must give people the notices and access rights required by applicable law.

4. Canadian residency and safeguards

IMECore is designed to support Canadian data residency. The selected Cloudflare resources, service providers, and deployment settings must be checked for each production environment. We use role-based access, audit logs, encryption in transit, and other safeguards appropriate to the information we handle.

5. Sharing

We may share information with service providers that help us host, secure, support, or operate IMECore. We may also share information when the workspace directs us to do so, when a person has consented, or when the law requires it. We do not sell medical information.

6. Retention and deletion

We keep information for as long as needed to provide the service, meet the workspace's instructions, resolve disputes, and meet legal or professional record duties. Workspace agreements should define retention periods, exports, deletion requests, backups, and post-termination handling.

7. Access and correction

People may have rights to request access to or correction of their personal information. Requests about workspace case data should first go to the organisation that collected it. We will help the workspace respond when our records are involved.

8. Questions and complaints

Contact the IMECore service contact listed in your agreement with questions or privacy concerns. A person may also have the right to contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
