## How to use it

1. **Enter the one-way distance.** The distance from the examinee's location to the clinic, in kilometres.
2. **Set the return-trip and escort options.** Toggle round-trip to double the distance. Toggle escort to double the passenger count.
3. **Add parking and meal costs.** Enter what the examinee actually paid or is expected to pay.
4. **Copy or download the expense line.** The result is a formatted expense line for your disbursement sheet or a CSV for your records.

## CRA rates change every year

The default rate in this calculator is a starting point only. The Canada Revenue Agency publishes updated mileage rates annually. Confirm the current rate on the CRA website before you submit a disbursement.

## The 100-kilometre question

Most IME scheduling guidelines say an examinee should not travel more than 100 km one-way for an in-person assessment. The calculator flags anything past that distance so you can consider a closer examiner or a virtual assessment instead.

## Escorts double the mileage

When an examinee needs a support person or driver, both people's travel is usually reimbursable. The calculator doubles the mileage automatically when you toggle the escort option.

## Parking and meals add up fast

Downtown clinic locations can charge $20 or more for a few hours of parking. A meal allowance for a half-day trip is another $15 to $25. These are real disbursements that referral sources expect to see itemised separately from mileage.

### What is the CRA mileage rate?

The Canada Revenue Agency sets a per-kilometre rate for business travel. It changes each year. Check the CRA website for the current rate and enter it manually in the calculator.

### Should I use the return-trip toggle?

Yes for most IMEs. The examinee travels to the clinic and back. Uncheck it only if the referral source or contract limits reimbursement to one-way travel.

### What counts as an escort?

A family member, support person, or driver who accompanies the examinee because of a medical condition, mobility limitation, or safety requirement. Both travellers' mileage is typically reimbursable.

### Why does it flag distances over 100 km?
