## Billing is a rebuild at month end

The invoice is a single line with a total. Tax was looked up last time and guessed this time. Finance rebuilds the month from email and calendar, and the payer asks what the fee covered.

- You cannot explain the total without opening the case file.
- GST, HST, and QST are applied from memory and are sometimes wrong.
- A no-show fee is charged or missed with no notice record attached.
- The examiner waits months and calls to ask when they will be paid.
- A cap or a fee schedule is applied after the fact, not at invoicing.

## What IMECore does about it

### Invoice from the case

The invoice builds from events on the case: exam, report, record pages, and addendum. Each line shows what it is for.

### Tax by rule, not memory

Pick the province and IMECore applies GST, HST, or GST plus QST by rule. Quebec shows the two lines separately, with QST on the subtotal.

### Examiner payout tracked

The assignment carries the fee, the terms, and the payment status from the day it is made. Finance sees what is owed and what is paid.

### Fee ceilings respected at the point of invoice

Workspace settings hold payer schedules and caps. The invoice is checked against them before it is issued, not after.

### The payer sees the components

The invoice itemizes examination, report, record review overage, and disbursements, with sourced rates where a published guide applies.

### Status you can report

Issued, paid, and reconciled sit on the case. Reconciliation runs against closed cases and flags what is still open.

## How it runs

1. **Build the invoice.** Create the invoice from the case. Line items populate from the work and from workspace rates.
2. **Apply tax.** Select the province for the supply. IMECore adds the correct tax lines and warns when the treatment is uncertain.
3. **Review and issue.** Finance reviews the components, corrects, and issues the invoice. The audit log records who issued it.
4. **Pay and reconcile.** Record the examiner payout and the payer receipt. Reconcile the case to closed when both settle.

## Numbers worth knowing

## Questions people ask

### Does IMECore decide what to charge?

No. The invoice builds from what happened on the case and from your workspace rates. A person reviews and issues every invoice.

### What replaces manual tax lookup?

A rule by province. HST in Ontario and the Atlantic provinces, GST plus QST in Quebec, GST elsewhere. You still confirm the treatment with your accountant.

### How are no-show fees handled?

The exam carries the notice and the cancellation window. The invoice applies your agreed fee with that notice record attached, so the payer sees the basis.

### How are examiners paid?

By the coordination firm, on the terms shown on the case. IMECore records the assignment, the fee, and the payment status, but it is not the payment processor.

### Can we reconcile at month end?

Yes. Closed cases show what was invoiced, what was paid, and what is still open. Export the lines for your accounting system.
